ProMax CRM Alternatives for Dealers: Three Options and a Desking and Credit Map

Compare three ProMax CRM alternatives on desking, credit, DMS fit and AI control, plus a checklist of the ProMax functions you will need to replace.

Buyer's guide · AutoCRMAI

The best ProMax CRM alternative depends on whether you also want to replace ProMax's desking, credit and compliance tools or only the CRM. ProMax Complete bundles all of them for auto dealerships. AutoRaptor and DealerCenter include desking and credit; Shiftix Cloud is a CRM that works beside your DMS and existing credit tools.

At a glance

  • ProMax suits dealerships that want CRM, desking, credit bureau access and compliance workflow from one front-end vendor, now with an optional BDC AI add-on.
  • AutoRaptor suits used, independent and buy-here-pay-here dealers that want a CRM with desking and lender submission, and a stated human approval step for AI messages.
  • DealerCenter suits independent dealers willing to move their DMS as well, since its CRM, desking and credit services sit inside one DealerCenter system.
  • Shiftix Cloud suits auto, RV, marine and powersports dealers that want to replace only the CRM and messaging, keep their DMS and credit tools, and have staff approve AI follow-up.
  • Before any demo, list which ProMax functions your store uses each day, because a CRM-only replacement leaves desking, credit pulls and compliance screening to be covered elsewhere.

How we compared ProMax CRM alternatives

We compared three alternatives that dealers who leave ProMax commonly consider, using the criteria that matter most when the current system does far more than lead management. Shiftix Cloud publishes this guide and is one of the products compared.

  • How options were chosen: Capterra's ProMax Unlimited page lists Carsforsale.com, AutoManager, Frazer, AutoRaptor and DealerCenter as alternatives. We kept AutoRaptor and DealerCenter because both pair a CRM with desking and credit tools, and added Shiftix Cloud as a CRM-only option. AutoManager and Frazer are dealer management systems covered in our guide to used car dealer software.
  • Evidence: each vendor's own website, read on October 21, 2026, and an Auto Remarketing report on ProMax BDC AI. Nothing was tested first-hand, and no vendor reviewed this guide.
  • Criteria: what the product is, who it is built for, lead handling, texting, email and video, desking and credit, DMS and other integrations, AI and who approves its messages, whether pricing is published, and who it suits.
  • "Not stated" means the pages we read did not cover a point. It does not mean the product lacks it.
  • No prices. We say only whether each vendor publishes pricing.

What ProMax offers, according to ProMax

ProMax describes itself on its home page as "an award-winning unified retail platform for auto dealerships," and says "everything we do is about credit-driven retailing." The About ProMax page says the company was founded in 1994, has offices in Bettendorf, Iowa and Mission, Kansas, was acquired by SNH Capital Partners in 2018, and launched Stack in 2022, a desking and CRM platform now called ProMax Complete.

  • What it is: ProMax Complete is described as an "all-in-one front-end software platform" combining CRM, desking, websites, inventory, credit and data mining. ProMax is not a DMS; it connects to one.
  • Built for: auto dealerships. The pages we read do not separate franchise, independent and buy-here-pay-here stores, and the integrations page lists both OEM programs and independent-dealer DMS platforms.
  • Lead handling: the ProMax Complete CRM page says it "unifies lead management, follow-up, and workplans," with a Daily Workplan dashboard of time-sensitive tasks.
  • Texting, email and video: built-in texting with automated follow-ups and templates, video messages by text through a certified Covideo integration, and native iOS and Android apps, according to the ProMax Complete FAQ.
  • Desking and credit: the ProMax desking page describes deal structuring with Lender Select and an Incentive Optimizer. ProMax also lists credit reports from the three bureaus, soft-pull pre-qualification, OFAC and MLA screening, ID and synthetic fraud checks, a compliance workflow builder with an audit log, and forms and eSign.
  • DMS and integrations: the ProMax integrations page lists DMS partners including CDK Global, Dealertrack, Tekion, Frazer, Wayne Reaves, AutoManager, DealerCenter, Auto/Mate, Dominion and PBS. The FAQ says some DMS providers get "near real-time bi-directional" exchange while others share batches or accept a generic deal push.
  • AI and who approves: covered in the AI section below. An approval step before BDC AI sends a message is not stated.
  • Pricing: not published; ProMax directs buyers to schedule a demo.
  • Who it suits: dealerships that do much of their credit, desking and compliance work in one front-end system and want the CRM tied to it.

One detail is worth checking before you compare: the ProMax FAQ covers both the browser-based ProMax Complete and login help for a downloadable full version. Ask ProMax which version your store runs, because a store on an older setup may be comparing alternatives against features it does not yet have.

Map what ProMax does for your store before you switch

Mapping each ProMax function to a new home is the most useful step before a CRM change, because ProMax often does work that a typical CRM does not. Walk through the list below with your sales, finance and compliance leads, and mark each line "use daily," "use sometimes" or "never."

  • Lead management and Daily Workplan: the new CRM must take every lead source and give each salesperson a daily task list. Every option in this guide does this.
  • Desking and Lender Select: decide whether desking moves to the new CRM, to your DMS, or stays in ProMax. Ask ProMax whether desking can be kept without the CRM, because its desking page describes desking as part of the unified platform and does not say.
  • Credit bureau pulls and soft-pull pre-qualification: if salespeople pull credit inside ProMax, the replacement needs its own bureau access, or you need a separate credit provider and a clear rule for where consumer consent is stored.
  • OFAC, MLA, Red Flags and ID checks: list every screening step ProMax runs today and name who will run it after the switch. Our guide does not give legal advice, so confirm the list with your compliance lead.
  • Compliance workflow and audit log: export or keep access to past audit records before access ends.
  • Forms and eSign: find out where signed documents are stored and how you will retrieve them later.
  • Websites, call tracking and lead generation: if ProMax hosts your website or tracking numbers, plan the website move and number porting separately from the CRM.
  • Data mining and equity lists: note which reports managers rely on, such as trade-in equity and service-to-sales gaps, and ask each vendor to show the same report in a demo.
  • BDC AI: if you use the add-on, decide whether the replacement should reply automatically or draft replies for staff to approve.

The result tells you which kind of alternative you need. If most lines say "use daily," you are replacing a front-end platform and should compare suites such as DealerCenter or a CRM with desking such as AutoRaptor. If only the first line and BDC AI matter, a CRM-only option is enough. Our explainer on what a DMS does versus a CRM helps with the line between systems.

Who answers the lead? ProMax BDC AI and its alternatives

AI control is a clear difference between ProMax and its alternatives, because some products reply to leads on their own while others draft replies for staff to approve. The summary below uses each vendor's own wording, read on October 21, 2026.

  • ProMax BDC AI: the BDC AI page calls it "a lead-response agent built natively into ProMax Complete" that answers by "text, email or both," including nights, weekends and holidays, and books appointments. A badge shows when BDC AI is working a lead, and "one click pauses it so a rep can pick up right where the conversation left off." Auto Remarketing reported on October 14, 2026 that BDC AI is offered as an add-on to ProMax Complete. Approval before sending is not stated.
  • AutoRaptor: the AI Sales Assistant responds to inbound leads by text, email and chat, and the page shows the badge "Human approval on every send." The page does not make clear whether its instant first replies also wait for approval, so ask for a demonstration.
  • DealerCenter: the AI Sales Agent "automatically replies to inbound leads via text or email within seconds" and notifies the team when a lead engages. Approval before sending is not stated.
  • Shiftix Cloud: the Aria AI Assistant page says it replies to new leads in under a minute and prepares SMS and email follow-up "for a team member to review and approve," with human-controlled team review before sending.

Neither approach suits every store. Automatic replies can reach a night-time shopper sooner; approval on each send keeps a person responsible for every message. Our guide to dealership lead response time explains how to measure which one your store needs.

AutoRaptor and DealerCenter: ProMax alternatives with desking and credit

AutoRaptor and DealerCenter both take over desking and credit work as well as leads, which makes them the closer match for a store that uses most of ProMax Complete.

AutoRaptor

  • What it is: a dealership CRM with desking and credit applications, not a DMS.
  • Built for: AutoRaptor says it "was built for used, independent, and BHPH (buy here, pay here) auto dealerships" on its used car dealership CRM page.
  • Lead handling: leads from the dealership's website, email and phone, prioritized and managed in the CRM.
  • Texting, email and video: text, email and chat through the AI Sales Assistant, plus email and text campaigns. Video is not stated on the pages we read.
  • Desking and credit: the AutoRaptor desking page describes building a deal "forward from a vehicle or backward from a payment," a credit application that "validates per lender" and is submitted without leaving the platform, and timestamped disclosures. AutoRaptor adds that "final regulatory compliance depends on your dealership's configuration and practices."
  • DMS and integrations: the AutoRaptor integrations page says it "supports DMS integrations for many dealership systems" without naming them, lists 80+ integrations, and names Dealertrack and RouteOne for credit and F&I workflows.
  • AI and who approves: "Human approval on every send," with the qualification noted in the AI section above.
  • Pricing: the AutoRaptor pricing page groups plans by user count with figures on request, and notes premium integrations may carry extra charges.
  • Who it suits: independent and buy-here-pay-here stores that want to replace ProMax's CRM and desking together while keeping their current DMS.

DealerCenter

  • What it is: a dealer management system with desking, F&I, contracts, accounting, a CRM, buy-here-pay-here tools, websites and AI agents, according to DealerCenter's home page.
  • Built for: DealerCenter says it "caters to independent auto dealers."
  • Lead handling: the DealerCenter CRM page describes leads from Cars.com, Autotrader, CarGurus "and 50+ others," with duplicates removed and leads auto-assigned to reps.
  • Texting, email and video: bulk SMS and email, and MMS with vehicle images. Video calls are listed only through the Facebook Messenger integration.
  • Desking and credit: a desking tool sits in the DMS, and the CRM page offers to "access credit profiles, FICO scores, OFAC and other bureau services" through the three bureaus.
  • DMS and integrations: DealerCenter sells its own DMS. The CRM page does not say how the CRM works with another vendor's DMS.
  • AI and who approves: automatic replies from the AI Sales Agent. An approval step is not stated.
  • Pricing: published on DealerCenter's pricing page, where the DMS, CRM tiers, AI agents, websites and credit reports are listed separately, some marked "Call For Pricing."
  • Who it suits: independent dealers ready to change DMS as well as CRM, so that credit, desking and leads all sit in one system.

Shiftix Cloud: a CRM-only ProMax alternative

Shiftix Cloud replaces ProMax's CRM, messaging and lead follow-up but not its desking or credit tools, so it fits a store whose function map shows those can stay elsewhere.

Shiftix Cloud

  • What it is: a Customer Operations Platform that works alongside a dealer's DMS, ERP and accounting systems. It is not a DMS. Its CRM sits beside the Unified Customer Inbox.
  • Built for: auto, RV, marine and powersports dealers. The Shiftix Cloud auto page names franchise stores, independent used-car lots and multi-rooftop groups.
  • Lead handling: condition-based routing by source, vehicle type, location or round-robin, with assignment gap monitoring, follow-up reminders and a drag-and-drop deal-stage board with aging and stall flags.
  • Texting, email and video: phone, email, SMS, website forms, Facebook Messenger and live chat in one inbox. STOP, UNSUBSCRIBE and similar keywords are recognized and honored permanently for Shiftix-managed messaging. Video is not stated on the pages we read.
  • Desking and credit: not offered on the pages we read. Stores keep desking and credit in their DMS or a separate credit provider.
  • DMS and integrations: the Shiftix Cloud integrations page lists Promax among its DMS platforms, alongside Frazer, Wayne Reaves, Dealertrack, Tekion and others. The page says listed systems are potential connection targets rather than a guarantee of a one-click connector, and that availability, data direction, permissions and setup are confirmed during implementation.
  • AI and who approves: the Aria AI Assistant is human-controlled: staff review and approve follow-up before it is sent.
  • Pricing: published for some plans on the Shiftix Cloud pricing page, with the top plan configured with sales. Cost depends on users, rooftops, contacts and communications capacity, and data cleanup or complex migrations may carry a separately scoped implementation fee agreed before work begins.
  • Who it suits: dealers whose map shows they mainly need lead management and messaging, who want to keep their DMS and credit tools, and groups that sell RVs, boats or powersports as well as cars.

If you are unsure whether the CRM is really where leads are lost, the Revenue Leak Audit is a complimentary, no-obligation review of lead response, follow-up and retention.

What to carry over when you leave ProMax

Leaving ProMax means carrying over credit and compliance records as well as customer data, so ask ProMax in writing what you can export, and ask each new vendor what it can import, before you give notice.

  • Customer records and history: contacts, notes, texts, emails and appointment history, so salespeople do not restart conversations cold.
  • Workplan rules and templates: write down follow-up cadences, text templates and BDC AI settings such as tone, hours and FAQs, because you will rebuild them by hand.
  • Opt-outs and consent: load texting opt-outs into the new system before any automated message runs. Our guide to dealership text messaging covers consent and wording.
  • Credit and compliance records: decide where past credit reports, stored consumer consent, screening results and the compliance audit log will live, and how long you need access to them.
  • Signed documents: retrieve or keep access to documents signed through ProMax forms and eSign.
  • Phone numbers and website: ask whether call tracking numbers can be ported, and re-point every website form and lead source, then send a test lead from each.
  • Vendor security terms: the FTC's Safeguards Rule FAQ for auto dealers (June 2025) says dealers must oversee service providers, including "requiring its service providers by contract to implement and maintain such safeguards," and should dispose of customer information "once you no longer have a business need to keep it."

For contract notice, cutover week and the first 30 days, the four-stage checklist in our Elead switching guide applies to a ProMax change too.

Which ProMax alternative should you choose?

The right ProMax alternative follows from your function map: how much of ProMax's desking, credit and compliance work you want the new system to take over.

  • ProMax runs most of your credit and desking, and the team is happy with it: weigh the cost of rebuilding those steps before you move, and ask ProMax whether a newer version fixes what is driving the change.
  • You want CRM and desking together but will keep your DMS: compare AutoRaptor, and ask for a desking and credit application walkthrough using one of your own recent deals.
  • You are ready to change DMS too: compare DealerCenter, and check whether its automatic AI replies fit your store.
  • You mainly need lead handling, messaging and AI follow-up that staff approve: compare Shiftix Cloud, and plan where desking and credit pulls will happen.
  • You sell RVs, boats or powersports as well as cars: check which vendors serve every store you run; Shiftix Cloud serves all four.

Frequently asked questions

Is ProMax a DMS?

No. ProMax describes ProMax Complete as a front-end platform for auto dealerships that combines CRM, desking, credit, compliance, websites and inventory tools. It connects to a separate dealer management system, and its integrations page lists DMS partners such as CDK Global, Dealertrack, Tekion, Frazer and Wayne Reaves.

Does ProMax publish its pricing?

No. ProMax's website did not show prices in October 2026 and directs buyers to schedule a demo, and Capterra's listing says to contact the vendor. Dealership CRM cost usually depends on the number of users and rooftops, the modules chosen, such as desking, credit and AI, texting volume and integrations, so ask for a quote that lists each one.

Which systems does ProMax integrate with?

ProMax lists integrations with DMS platforms, the three credit bureaus, lenders including RouteOne and Capital One, inventory and listing sites, OEM programs and third-party tools such as Covideo. ProMax's FAQ says DMS connections vary: some providers exchange data in near real time in both directions, while others share batches or accept a generic deal push.

Who owns ProMax?

ProMax was acquired by SNH Capital Partners in 2018, according to the About ProMax page. The company was founded in 1994, has offices in Bettendorf, Iowa and Mission, Kansas, and launched Stack in 2022, the desking and CRM platform now sold as ProMax Complete.
